Many insurance brokers use Microsoft 365, which arrives with SharePoint. Microsoft SharePoint is a web-based collaboration and document management platform. Organisations use it as a central hub to store, organise and share files, build internal sites (intranets) and work together on projects using the Microsoft 365 ecosystem. When you share a file inside a Microsoft Teams chat or channel, it is actually saved directly inside SharePoint behind the scenes.
SharePoint document management means using Microsoft's collaboration platform as the system that stores, organises and controls your business documents. Out of the box it provides libraries, folders, co-authoring, version history and permissions.
Turning that into a compliant document management system for an insurance brokerage takes deliberate setup: metadata, retention rules, permission design and ongoing governance that someone has to own.
SharePoint is a strong foundation. Files are in the cloud, co-authoring works and it connects naturally to Outlook, Word and Excel, the tools your team lives in.
A Document Management System (DMS) is more than storage. Guided filing, uneditable file notes, audit trails and retention rules are what regulators expect and SharePoint doesn't provide them by default. SharePoint can be configured a long way towards compliance, but the configuration is a project and the upkeep is a job.
A purpose-built DMS understands clients, policies and claims, not just files and folders. You don't have to choose against Microsoft. JAVLN Officetech is Microsoft 365 native, so structured document management happens inside the tools you already use.
What SharePoint does well for a brokerage

Credit where it's due. SharePoint puts files in the cloud with enterprise-grade security behind them, which already beats an office server for resilience and remote work. Version history means yesterday's schedule can be recovered. Co-authoring means two brokers can work in the same Word document without emailing copies. Permissions can separate claims files from HR files. And because it is part of Microsoft 365, there is no new platform to buy and no new login to remember.
For general business documents, that is often enough. Team procedures, marketing material and internal spreadsheets sit happily in SharePoint. Moving them there is a real step up from a shared drive.
Where SharePoint doesn't work for insurance brokers

Client files are different from general business documents, because a regulator, an insurer or a professional indemnity assessor may one day read them back. That is where SharePoint's general-purpose design starts to show.
Filing depends on people. SharePoint will store a policy schedule wherever a busy broker drops it. Nothing guides the file to the right client and policy folder, so consistency depends on training and habit, and every new starter files things their own way.
Notes and records can be edited. A file note that can be quietly changed after the fact is weak evidence. Insurance-grade record keeping needs immutable notes and a complete version history that nobody can tidy up later.
The audit trail is assembled, not built in. SharePoint logs plenty, but turning those logs into a clean answer to "show me everything on this client between renewal and claim" is a reporting project. In an audit, you want that answer in minutes.
Retention is a configuration exercise. Seven-year retention on client records is achievable with Microsoft's compliance tooling, on the right licence tier, configured correctly and maintained as the platform changes. Most brokerages don't have that specialist in-house.
Search knows words, not broking. SharePoint search finds documents containing "flood". It doesn't know which of them is the current certificate of currency for a given client, because it has no concept of clients, policies or claims.
None of these are flaws in SharePoint. They are the natural result of a general-purpose platform meeting an industry with specific obligations.
The governance work requried
Brokerages that make SharePoint work as a DMS typically invest in an information architecture (site and library design, metadata, naming conventions), Purview retention policies, permission reviews and someone who owns all of it as the business grows. That work is ongoing and it a cost comparison to make when a purpose-built system is quoted. Our Brokering Change report found 70% of brokers already spend three or more hours a day on admin. A system that files, records and retains automatically hands time back.
SharePoint or a purpose-built broker DMS?
If your documents are mostly internal and your compliance exposure is low, well-organised SharePoint may be all you need. If client files, claims records and advice evidence make up the bulk of what you store, a document management system built for insurance earns its keep quickly: guided filing that lands documents against the right client and policy, uneditable file notes, absolute retention and an audit trail that produces regulator-ready answers on demand.

The good news is that this is not a choice against Microsoft. JAVLN Officetech is Microsoft 365 native: your team keeps working in Outlook, Word and Excel while Officetech adds the broker-shaped structure underneath. Emails file from Outlook in a couple of clicks, documents edit in place and every action lands in the audit trail without anyone thinking about it.

How to decide between SharePoint and JAVLN Officetech
Four questions get you most of the way.
- Who checks that filing is done correctly today and what happens when they are on leave?
- Could you produce a complete, timestamped client file within an hour of a regulator asking?
- Are your file notes truly tamper-proof?
- Who owns your retention configuration as Microsoft's platform evolves?
If you can't quickly answer any of these, it's worth seeing what purpose-built looks like.

The bright side of JAVLN
Whichever way you go, the goal is the same: less time hunting and filing, more time advising clients. That is the work brokers are valued for and it is exactly the time a well-chosen document management system gives back.
