Choosing your OrganiseIT replacement: the questions to ask any vendor (including us)

Retiring a product and migrating customers to its successor is how software works. Xero has done it, Microsoft does it most years and every serious software company invests in one platform rather than maintaining two forever.

We acquired OrganiseIT because we back its customers. OrganiseIT's founders chose JAVLN Officetech to look after their customers and this is where future investment is going.

What matters now is that you choose well. The platform you pick is the one your brokerage will build on as AI reshapes how broking gets done.

So rather than tell you what to think, here are the questions we'd put to anyone offering you a new home. Including us. Ask them all and the right answer will make itself obvious.

Is the platform truly cloud native?

There's a difference between software built for the cloud and software hosted on a server you access remotely. Hosted desktops and private servers can be described as "cloud", but the architecture underneath is the same one many businesses have been working around for years, with the hosting bill arriving monthly.

Why it matters: AI gets built on cloud native architecture. Modern AI capability needs structured data, live connectivity and infrastructure that scales. A virtual desktop doesn't provide any of that.

The journey to AI starts with the cloud, then structured data, then connectivity. AI sits on top, and it only works when the layers beneath it are solid.

What AI is working for brokers today?

Will your history make the move with you?

Years of client records, documents, notes and tasks are the accumulated value of your brokerage. Ask any vendor exactly what migrates, what gets left behind and who does the work.

Your original OrganiseIT layout is preserved in a dedicated folder under each client so nothing is lost and everything stays findable. OrganiseIT tasks don't transfer as tasks, because the two systems handle task data differently. However, the documents inside each task are exported and migrated with everything else. And JAVLN Officetech has task assignment, renewal reminders and progress tracking built in, so open tasks can be set up fresh in a better system rather than carried over into an old one. 

Ask every vendor the same question at the same level of detail: what transfers as-is, what transfers in a changed form and what stays behind. The vendor who answers specifically is the one who has actually done it.

Who profits from the infrastructure around the software?

This is a key question. Some alternatives on offer come bundled with the vendor's own hosting, managed IT, security services and support contracts. That can be convenient. It also means your software, your infrastructure and your IT roadmap all move at one provider's pace and only as fast as their investment allows. Before you sign, ask what leaving would look like in three years.

Why it matters: the pace of change right now is unforgiving. Consider how quickly the go-to AI tool has changed: first ChatGPT, then Microsoft Copilot and in early 2026 Claude launched Cowork. Ask yourself who's next. Heavy dependence on one provider seems convenient until their investment falls behind and then so do you. Choose a vendor who understands this and is building for it: open, cloud native architecture that can adopt whatever wins next, rather than a closed stack that locks you into yesterday's bet.

Who has audited the security claims?

An ISO badge can cover a company's internal processes without saying much about the product your client data will live in, so ask specifically: has the platform itself been independently audited, against what standard and how recently?

Why it matters: your clients' financial records, claims history and personal information will live in this system for years. In a regulated industry a certificate that applies to the vendor's office rather than the software isn't good enough.

That means an independent auditor examined how our platforms protect customer data in operation, over an extended period, not as a point-in-time snapshot. Why is OrganiseIT retiring at all?

Because maintaining two document management platforms forever would shortchange our customers on both. What does retirement actually mean? Can I just do nothing?

Honestly, yes, for a while. Retirement means OrganiseIT stops receiving updates, security patches and support once it's retired later in 2027. If you run it on your own server, the software won't stop working the day after. Nobody is switching anything off at your end and any vendor implying you're about to lose your data overnight is fearmongering.

What changes is what you're standing on. Unsupported software in a regulated industry means no security patches when vulnerabilities appear and no fixes when Windows or Outlook updates break something. You can carry on. The question is how long you'd want to, and whether it's better to get your team ahead on the platform where broking is going.

You can migrate anytime.  We have discounted pricing available until 30 August 2026. Register by then and migration and onboarding fees are $0, you stay on your current OrganiseIT rate for the first three months after go-live, then pay 25% off Officetech pricing through to month 12, with standard pricing from month 13.
